Analysis
This page collects figures on how people communicate at work: email and chat volume, meetings, interruptions, after-hours contact, clarity and trust in internal communication, remote and office collaboration, and the arrival of AI. Most figures describe 2025 and 2026 and come from Microsoft 365 telemetry, Gallup and Pew Research Center surveys of US workers, the CIPD and IC Index surveys of UK employees, and vendor surveys from Owl Labs, Atlassian, ClickUp and Reworked with Korbyt. A few older peer-reviewed field studies are included where no newer causal evidence exists; country scope and year are stated with each figure.
Digital messages fill much of the workday. Microsoft's 2025 telemetry shows the average Microsoft 365 user receiving 117 emails and 153 Teams messages a day, with messages per person up 6% in a year. In ClickUp's 2025 vendor survey, 83% of knowledge workers said they rely mainly on email and chat, and 60% reply to instant messages within 10 minutes. In the 2026 survey by Reworked and Korbyt, 44% of US employees said they feel overwhelmed by internal updates.
Meetings have become less planned and harder to run. Microsoft found 57% of meetings in 2025 were ad hoc calls without an invite and 30% spanned several time zones. Owl Labs' 2025 US survey counted an average of 5 online and 5 face-to-face meetings a week, and 77% of workers said they had lost time to technical problems. The CIPD's 2026 UK survey shows one-to-ones with managers are the most common way employees are heard, available to 55%.
The workday is fragmented and stretches into the evening. Microsoft counts an interruption about every two minutes during core hours and more than 50 messages per user outside them, with after-hours chats up 15% and meetings after 8 pm up 16% in a year. Pew Research Center found in 2026 that 59% of US parents working full time handle work tasks while with their children.
Clear direction and trust remain weak points. Gallup found 49% of US employees strongly knew what was expected of them in the first half of 2026, and 35% said better communication would help most. In the UK, the 2026 IC Index found only 54% rate internal communication as excellent and 49% say the reasons for change are clearly explained, while the CIPD found 20% have no voice channel at all. AI adds a new layer: Pew found 21% of US workers did some work with AI in 2025, and 45% of employees in the Reworked and Korbyt survey doubt messages they suspect AI wrote. Much of the telemetry comes from one vendor's users and may not represent every workplace.
Email, chat and message volume
Message volume is high and still rising. Microsoft's 2025 telemetry counts 117 emails and 153 Teams messages a day for the average user, with messages per person up 6% in a year. Vendor surveys from ClickUp and from Reworked with Korbyt point to the cost: most teams rely on email and chat, most people reply to instant messages within minutes, and 44% of US employees feel overwhelmed by internal updates. Telemetry describes Microsoft 365 users only, and the vendor surveys use online panels.

Meetings
Meetings are less planned and spread across more time zones than before. Microsoft found 57% of meetings in 2025 were ad hoc calls and 30% spanned time zones. Owl Labs' 2025 US survey shows the practical friction: an average of 10 meetings a week, with 77% of workers losing time to technical problems. The CIPD's 2026 UK survey looks at one-to-one meetings with managers, which most employees find frequent enough, although 15% never have one about performance. Owl Labs sells meeting hardware, which is worth keeping in mind when reading its technology findings.

Interruptions, focus and searching for information
Constant contact leaves little time for focused work. Microsoft measured an interruption about every two minutes in 2025, and nearly half of employees in its survey called their work chaotic and fragmented. Atlassian's 2025 survey adds that a quarter of working time goes on searching for answers, and Owl Labs found 35% of US workers block their calendars to protect time. Gloria Mark's measurements of screen attention, at about 47 seconds, are the longest-running data on this question but come from small observational samples.

After-hours communication
Work messages increasingly arrive outside the standard day. Microsoft's 2025 data show more than 50 messages per user outside core hours, after-hours chats up 15% and meetings after 8 pm up 16% in a year, driven partly by teams spread across time zones. Pew Research Center's 2026 survey of working parents shows the same blurring from the other side: 59% handle work tasks while with their children. These figures describe activity, not whether it was expected by employers.

Clarity, trust and internal communication
Employees report gaps in basic direction and in being heard. Gallup found 49% of US employees strongly knew what was expected of them in the first half of 2026, still far below earlier peaks, and 35% said better communication would help most. In the UK, the 2026 IC Index found only 54% rate internal communication as excellent, and the CIPD found 20% of employees have no channel to voice their views. The IC Index covers organizations with 500 or more staff, so smaller employers are not represented.

Remote work, office design and collaboration
Where people work changes who they talk to. The CIPD's 2026 survey found fully remote employees report better relationships with managers but weaker ties to colleagues, and Pew's 2023 survey found 53% of people working from home felt less connected to co-workers. Field studies point the same way: remote work at Microsoft made collaboration networks more siloed, sitting near teammates increased code feedback at a Fortune 500 firm, and open-plan offices cut face-to-face contact by about 70%. The field studies are older but remain the strongest causal evidence available.

AI in workplace communication
AI is entering workplace communication faster than trust in it. Pew found 21% of US workers did at least some work with AI in 2025, up from 16% a year earlier, while 65% still used it little or not at all. Owl Labs found 51% of US workers would consider an AI avatar attending meetings for them, yet 45% of employees in the Reworked and Korbyt survey question a message's accuracy if they suspect AI wrote it. Gallup links manager support for AI use with higher engagement, which is a correlation rather than proof of cause.

Frequently asked questions
How many emails does the average worker receive per day?
Microsoft's 2025 telemetry shows the average Microsoft 365 user receives 117 emails a day, most skimmed in under a minute, plus 153 Teams messages per weekday. Messages per person rose 6% year over year.
How often are workers interrupted?
Microsoft's 2025 data show employees are interrupted about every two minutes during core hours by meetings, emails or chats, about 275 times a day. In its 2025 survey, 48% of employees said their work feels chaotic and fragmented.
How many meetings do people have each week?
US full-time workers in Owl Labs' 2025 survey reported an average of 5 online and 5 face-to-face meetings a week. Microsoft found 57% of meetings in 2025 were ad hoc calls without a calendar invite.
Do employees know what is expected of them?
Gallup found 49% of US employees strongly agreed they know what is expected of them in the first half of 2026, up from 47%. In 2025, 35% said better communication would most help them gain that clarity.
How good is internal communication rated?
The 2026 IC Index, a survey of 5,000 UK employees in organizations with 500 or more staff, found only 54% rate their organization's communication as excellent, the sharpest one-year fall it has recorded. In a 2026 US survey by Reworked and Korbyt, 44% of employees felt overwhelmed by internal updates.
Does remote work hurt communication?
The CIPD's 2026 survey found 10% of UK employees working fully from home have no relationship with colleagues, against 3% of those who never work from home. Pew Research Center found in 2023 that 53% of US remote workers felt less connected to co-workers, and a study of 61,182 Microsoft employees found firm-wide remote work made collaboration networks more siloed.
Methodology
We drew on Microsoft 365 telemetry and Microsoft's global Work Trend Index survey, US surveys from Gallup and Pew Research Center, UK surveys from the CIPD (with YouGov) and the Institute of Internal Communication (with Ipsos Karian), vendor surveys from Owl Labs, Atlassian, ClickUp and Reworked with Korbyt, and peer-reviewed or working papers published by Nature Human Behaviour, the Royal Society and NBER. Telemetry describes users of Microsoft 365 and Teams, not all workers. Vendor surveys use online panels, may favor digitally connected office workers and are run by companies that sell communication or meeting products; we label them as vendor surveys. The IC Index covers UK organizations with 500 or more employees. Figures from 2018 to 2023 are included only where no newer equivalent exists, and each is labeled with its year. No single publisher accounts for more than a quarter of the figures.
