Adoption figures come from company filings, official releases or independent surveys, linked in each entry. We compared documented features and published prices; we did not run hands-on tests. Scoring method
This list is for small businesses, teams and individuals choosing a tool for scheduled and ad hoc video meetings. Each product is scored on three criteria: documented features (35 percent), adoption backed by a published figure (35 percent) and value for money at US list prices (30 percent). We compared documented features and published prices from each vendor's own pages; we did not run hands-on tests. Where a vendor's pricing page did not show US dollars from our location, the price is marked as pending rather than converted.
AssessmentMicrosoft Teams offers the strongest combination of reach and price: a $4.00 Essentials plan with 300-person, 30-hour meetings and a user base Microsoft put above 320 million monthly actives. Zoom Workplace remains the specialist pick, with a broad meeting feature set and AI summaries on paid plans, plus 4,625 customers each paying it more than $100,000 a year. Google Meet suits teams already on Google Workspace, Webex and GoTo Meeting suit organizations that want a dedicated meetings vendor with compliance features, and Jitsi Meet covers occasional calls at no cost.

Microsoft Teams
Microsoft's chat, calling and meetings app, sold on its own as Teams Essentials or inside Microsoft 365 business plans.
9.2overallMicrosoft's chat, calling and meetings app, sold on its own as Teams Essentials or inside Microsoft 365 business plans.
Best forSmall and midsize businesses that want low-cost meetings and may later move to Microsoft 365.
Adoption data
320 millionMicrosoft reported more than 320 million monthly active users of Teams on its fiscal 2024 first quarter earnings call.
Microsoft, Microsoft Fiscal Year 2024 First Quarter Earnings Conference Call (2023): “When it comes to Teams, usage continues to grow, with more than 320 million monthly active users making Teams the place to work across chat, collaboration, meetings, and calling.”
Teams is the default meeting tool for many organizations because it arrives with Microsoft 365, but Microsoft also sells it alone as Teams Essentials for $4.00 per user per month on an annual subscription. That plan allows meetings of up to 30 hours with 300 participants, records meetings with transcripts and English live captions, and includes 10 GB of cloud storage per user. Stepping up to Microsoft 365 Business Basic at $7.00 adds 1 TB of storage per user and web versions of the Office apps. Microsoft's last published usage figure, more than 320 million monthly active users in late 2023, puts it among the most widely used meeting tools in the world, which matters when most of your external calls are with other Teams users. The trade-offs are the 300-employee ceiling on business plans and an interface that bundles chat, files and apps around meetings, which some teams find heavier than a meeting-only tool.
Strengths
- +Lowest published US entry price among the paid plans on this list
- +Same 300-participant cap and 30-hour duration across Essentials and Business Basic
- +A free version exists for personal and light use
Limitations
- −Essentials includes only 10 GB of cloud storage per user
- −Business plans are limited to 300 employees
- −The newest adoption figure Microsoft has published dates from 2023
SummaryTeams is the best value pick for organizations that want reliable meetings at a low per-user price. Choose it if you already use Microsoft products or expect to.
- 2

Zoom Workplace
Zoom's meeting platform bundled with team chat, whiteboards, mail, calendar and AI note-taking.
8.8overallZoom's meeting platform bundled with team chat, whiteboards, mail, calendar and AI note-taking.
Best forTeams that run many external meetings and want a meeting-first tool with AI summaries.
Adoption data
4,625Zoom reported 4,625 customers each contributing more than $100,000 in trailing 12 month revenue at the end of its second quarter of fiscal 2027 (quarter ended July 31, 2026). Zoom no longer reports a total customer or user count in its filings, so this large-customer figure is the closest filed measure.
Zoom Communications, Zoom Communications Reports Financial Results for the Second Quarter of Fiscal Year 2027 (Exhibit 99.1, SEC filing) (2026): “The number of customers contributing more than $100,000 in trailing 12 months revenue was 4,625, up 8.2% from the same quarter last fiscal year.”
Zoom built its name on meetings and the product still reflects that focus. The free Workplace Basic plan allows 40-minute meetings with up to 100 participants and a small allowance of AI summaries. Workplace Pro lifts the duration limit to 30 hours, adds unlimited AI meeting summaries and the My Notes note taker, and includes 10 GB of cloud storage per user, though the participant cap stays at 100. Workplace Business raises it to 300 and adds single sign-on, managed domains and unlimited whiteboards, while Enterprise reaches 1,000 participants and adds a full phone system. Adoption among large buyers is strong: Zoom's latest filing counts 4,625 customers paying it more than $100,000 a year. We could not confirm US prices because the pricing page displayed Polish zloty from our location, so this entry's price is pending. Zoom is the stronger pick than Teams for organizations whose work is mostly external calls and who want AI notes built in.
Strengths
- +Meeting-first design with the broadest set of meeting controls on this list
- +AI summaries included on paid plans rather than sold as a separate add-on
- +Large-customer base continues to grow, up 8.2 percent year over year
Limitations
- −US prices could not be confirmed from the pricing page as fetched from our location
- −Workplace Pro keeps the 100-participant cap of the free plan
- −Only 10 GB of cloud storage per user on Pro
SummaryZoom Workplace is the best meeting-first platform on this list and the natural alternative to Teams. Check the current US price on Zoom's site before committing, since we could not verify it.

Google Meet
Google's browser-based meeting tool, free with a Google Account and included in every Google Workspace plan.
8.4overallGoogle's browser-based meeting tool, free with a Google Account and included in every Google Workspace plan.
Best forTeams that already use Gmail, Google Calendar and Drive.
Adoption data
10 millionGoogle says Google Workspace, which includes Meet, has been used by more than 10 million businesses; Google does not publish a separate Meet figure.
Google, Google Workspace enables the future of AI-powered work for every business (2025): “We've empowered more than 10 million businesses of all sizes”
Google Meet is the lowest-friction way to start a video call for anyone with a Google Account: the no-cost version allows up to 100 participants and 60 minutes per group meeting, with no time limit on one-to-one calls, and guests join from a browser. For businesses, Meet comes inside Google Workspace rather than as a separate product. Business Starter, at $8.40 per user per month on the Flexible Plan, keeps the 100-participant cap and adds custom business email and 30 GB of pooled storage per user. Recording and noise cancellation start at Business Standard ($16.80 on the Flexible Plan) with 150 participants, and Business Plus raises the cap to 500 with attendance tracking. The value case depends on whether you also want Gmail and Drive; as a meeting tool alone, Teams Essentials is cheaper. Google says more than 10 million businesses have used Workspace, but it does not report Meet usage separately.
Strengths
- +Runs in the browser with no download for participants
- +Free tier covers most short team calls
- +Bundled with business email, Drive storage and Docs on Workspace plans
Limitations
- −Business Starter does not include meeting recording
- −Workspace Business plans are capped at 300 users
- −Google reports more than 10 million businesses for Workspace as a whole, not a Meet user count
SummaryGoogle Meet is the natural choice for teams already on Google Workspace and a capable free option for short calls. Teams that need recording should budget for Business Standard.
- 4

Webex
Cisco's meetings, calling and events platform with a free tier and FedRAMP authorized enterprise plans.
7.9overallCisco's meetings, calling and events platform with a free tier and FedRAMP authorized enterprise plans.
Best forOrganizations that want meetings with captions, polling and optional calling from one vendor.
Webex covers the same ground as Zoom and Teams with a few distinctive extras. The free plan allows unlimited meetings of up to 40 minutes with 100 attendees and includes unlimited whiteboards, local recording and advanced noise cancellation. Webex Meet, the main paid tier, extends meetings to 24 hours with 200 attendees and adds an AI Assistant, 10 GB of cloud recording, closed captions and Slido polling and Q&A. The Meet and Call bundle adds a business phone number with visual voicemail and domestic calling, and the Enterprise plan reaches 1,000 attendees with FedRAMP authorized security. Real-time translation into more than 100 caption languages is sold as an add-on. The US pricing page lists Webex Meet at $144 per user per year, or $12 per month, and the Meet and Call bundle at $270 per year. Cisco does not publish a separate Webex user count, which limits its adoption score.
Strengths
- +Free plan includes unlimited whiteboards, local recording and noise cancellation
- +Meet and Call bundle adds a business phone number on one license
- +FedRAMP authorized security on the Enterprise plan
Limitations
- −Paid plans are quoted per user per year, so monthly billing is not the default
- −Real-time translation is a paid add-on
- −Cisco does not publish a current Webex user count
SummaryWebex is a strong option for organizations that value captions, polling and compliance credentials. It is less compelling for small teams that only need basic calls.
- 5

Zoho Meeting
Zoho's low-cost meeting and webinar tool, priced per host with tiers by participant count.
7.9overallZoho's low-cost meeting and webinar tool, priced per host with tiers by participant count.
Best forBudget-conscious teams and existing Zoho customers.
Adoption data
100 millionZoho, the company behind Zoho Meeting, says its products have passed 100 million users across its whole suite; the figure is not specific to Zoho Meeting.
Zoho, Zoho | About Us (2026): “Marking the milestone of reaching 100 million+ users!”
Zoho Meeting is a lean meeting product priced for cost-conscious buyers. The free plan allows meetings of up to 60 minutes with 100 participants, screen sharing, a whiteboard and basic reports. The Standard plan is priced per host and by participant tier, from 10 up to 250 participants, and adds 24-hour meetings, 5 GB of cloud recording per host, two co-hosts, polls, remote control and co-branding. Professional adds breakout rooms, a custom domain, an embeddable meeting widget, API access and recording transcripts. Toll-free dial-in numbers for more than 55 countries are an add-on. On the regional page we could view, the per-host prices were among the lowest on this list, but the page showed euros from our location, so the US price remains pending. Zoho reports more than 100 million users across its products, which signals a large, established vendor, though that number is not specific to Meeting.
Strengths
- +Very low per-host prices on the regional pages we could view
- +Free plan allows 60 minutes rather than the more common 40
- +Fits into the wider Zoho suite of business apps
Limitations
- −The pricing page showed euros from our location, so the US price is pending
- −Breakout rooms and transcripts require the Professional tier
- −The adoption figure covers all Zoho products, not Meeting alone
SummaryZoho Meeting is a sensible low-cost pick for small teams and Zoho customers. Larger organizations will find fewer advanced features than in Zoom or Webex.

RingCentral RingEX
A unified communications plan that combines business phone service, messaging and HD video meetings.
7.8overallA unified communications plan that combines business phone service, messaging and HD video meetings.
Best forBusinesses that want phone numbers and video meetings on one contract.
Adoption data
600,000RingCentral says it is trusted by more than 600,000 businesses worldwide across its products.
RingCentral, About RingCentral & What Makes Us Unique (2026): “Trusted by over 600,000 businesses around the world”
RingCentral RingEX is a business phone system first, with video meetings, team messaging and SMS included. That makes it a different purchase from Zoom or Meet: at $20 per user per month on annual terms ($30 month to month), the Core plan includes unlimited domestic calling, on-demand call recording, 100 toll-free minutes, 25 SMS per user per month and HD meetings with up to 300 participants. The Advanced plan at $25 adds CRM integrations, multi-site support and core reporting, and Ultra at $35 adds RingCentral Webinar and unlimited storage. RingCentral says more than 600,000 businesses use its products. For a team that would otherwise pay separately for a phone provider and a meeting tool, the combined price is reasonable. For a team that only needs video meetings, it costs several times more than Teams Essentials or Whereby, which is why it scores lower on value.
Strengths
- +Replaces a phone system and a meeting tool with one license
- +300-participant meetings on the entry plan
- +Published USD prices for annual and monthly terms
Limitations
- −The most expensive entry price on this list if you only need meetings
- −Monthly billing costs $10 more per user than annual
- −Advanced reporting and CRM integrations require higher tiers
SummaryRingEX is the right pick when you need business phone numbers and meetings together. Teams that only meet over video should choose a cheaper meeting-only tool.
- 7

GoTo Meeting
A long-running business meeting tool priced per organizer, with dial-in on every plan and recording and AI summaries from the Business tier.
7.2overallA long-running business meeting tool priced per organizer, with dial-in on every plan and recording and AI summaries from the Business tier.
Best forBusinesses that want a dedicated meeting product with phone dial-in and HIPAA support.
Adoption data
80 millionGoTo says GoTo Meeting hosts more than 80 million online meetings a year; this counts meetings, not users, because GoTo does not publish a user or customer count.
GoTo, GoTo Meeting product page (2026): “80+ million annual online meetings: Each and every one with the same enterprise-grade security.”
GoTo Meeting is a dedicated meeting product aimed at businesses rather than consumers. It is priced per organizer: Professional costs $12 per organizer per month on annual billing ($14 monthly) and covers 150 participants, and Business costs $16 ($19 monthly) with 250. Every plan includes HD video, screen sharing, dial-in conference lines, breakout rooms, closed captioning and quick polls, along with HIPAA compliance, AES-256 encryption, SOC 2 certified data centers and single sign-on. Unlimited cloud recording, transcription, AI meeting summaries, note taking and co-organizers start on Business, so Professional suits teams that do not need recordings. Integrations cover Slack, Office 365, Google Calendar and Salesforce. GoTo reports more than 80 million online meetings a year, a usage figure rather than a user count. The weaknesses are the lack of a permanent free plan and a 250-participant ceiling that does not rise on Enterprise.
Strengths
- +Breakout rooms, closed captioning and dial-in included on every plan
- +Phone dial-in included, useful for attendees on poor connections
- +HIPAA compliant with AES-256 encryption
Limitations
- −No permanent free plan
- −Participant cap tops out at 250, even on Enterprise
- −Cloud recording, transcription and AI summaries are not included on Professional
SummaryGoTo Meeting suits businesses that want a straightforward meeting tool with dial-in on every plan and unlimited recording on Business. Teams needing large meetings or a free tier should look at Zoom, Teams or Webex.
- 8

Jitsi Meet
A free, open-source video conferencing tool that runs on meet.jit.si or on your own server.
7.1overallA free, open-source video conferencing tool that runs on meet.jit.si or on your own server.
Best forIndividuals and technical teams that want free meetings or a self-hosted option.
Jitsi Meet is the simplest free option on this list. Anyone can open meet.jit.si, pick a meeting URL and start a call without creating an account, and the project describes the service as fully encrypted and free to use every day. Participants can share their screen, chat, exchange emoji and edit documents together through Etherpad. Because the code is open source, organizations can also run their own Jitsi server and customize it, which appeals to schools, nonprofits and developers who want control over where meeting data lives. The trade-off is that the free service comes without the admin console, support agreements, large-meeting controls and AI features of the commercial products, and running your own instance needs technical skills. The team behind Jitsi also offers a paid hosted service called JaaS for developers, which is outside the scope of this list. No user count is published, so adoption is scored conservatively.
Strengths
- +Free with no account required
- +Can be run on your own server for full control
- +Custom meeting URLs make links easy to share
Limitations
- −No vendor support contract on the free service
- −Fewer admin, recording and AI features than commercial tools
- −No published user count, so adoption is scored conservatively
SummaryJitsi Meet is the best free choice for quick calls and for technical teams that want to self-host. Businesses that need support and admin tools should pick a commercial product.
- 9

Whereby
A browser-based meeting tool built around permanent room links, with simple per-host pricing.
6.9overallA browser-based meeting tool built around permanent room links, with simple per-host pricing.
Best forFreelancers, coaches and small teams who meet in a fixed room link.
Adoption data
30,000Whereby says more than 30,000 companies use its meeting product.
Whereby, Whereby Meetings Pricing | Simple Video Conferencing Plans (2026): “Trusted by more than 30,000 companies”
Whereby takes a simpler approach than the big suites: each host gets a permanent room link that guests open in a browser, with no account or download. The free plan is narrow, with one room, four attendees and 30-minute meetings, so it works mainly as a trial. Pro, at $10.99 per month for one host, adds three room URLs, 100 attendees, unlimited meeting length, custom branding and recording. Business costs $13.99 per host per month with a three-host minimum and adds unlimited rooms, 200 attendees, shared and flex rooms and a custom subdomain, with a 14-day trial. Whereby says more than 30,000 companies use it. The appeal is speed and a clean guest experience for coaches, therapists, tutors and consultants who meet clients in the same room every day. It lacks the admin controls, webinar tools and calling features of Zoom, Teams or Webex, and its per-host price is higher than Teams Essentials.
Strengths
- +Guests join from a link with no download
- +Prices published in USD, excluding VAT
- +Annual billing saves 17 percent
Limitations
- −Free plan limits meetings to 4 attendees and 30 minutes
- −Business plan requires at least 3 hosts
- −Fewer admin and compliance features than the larger vendors
SummaryWhereby is a good fit for solo professionals who want a branded, permanent meeting room. Larger teams will get more for less from Teams or Zoom.
Choosing a product
- Match participant caps to your largest regular meeting
- Caps vary widely at the entry tier: Whereby Pro allows 100 attendees, Webex Meet 200, Teams Essentials 300 and Zoom Workplace Business 300. Pick the plan that covers your biggest recurring meeting, not your average one, because upgrading mid-contract usually means a new annual commitment.
- Check time limits on free plans
- Free tiers are time-boxed. Zoom Workplace Basic and Webex Free stop group meetings at 40 minutes, Google Meet's no-cost version at 60 minutes, Zoho Meeting Free at 60 minutes and Whereby Free at 30 minutes. Jitsi Meet has no published time limit and needs no account.
- Compare per-host pricing on annual and monthly terms
- Most vendors price per host or per user and discount annual billing. GoTo Meeting Professional is $12 per organizer per month on annual terms and $14 month to month, while RingCentral RingEX Core is $20 annually and $30 monthly. Multiply the per-host price by the number of people who schedule meetings, not by the number of attendees.
- Decide whether you need phone calling too
- If the team also needs business phone numbers, a unified product can replace two contracts. RingCentral RingEX bundles calling, SMS and 300-participant meetings, and Webex Suite adds a business number to Webex Meet. Pure meeting tools such as Whereby and Jitsi Meet do not include phone numbers.
- Look at recording, transcripts and AI features by tier
- Cloud recording and AI summaries are often paid features. Webex Meet includes 10 GB of cloud recording and an AI Assistant, GoTo Meeting adds unlimited cloud recording and AI meeting summaries on its Business plan, and Teams Essentials records meetings with transcripts and English live captions.
